Responsibilities

The Cardiac Device MA supports the daily operations of the cardiac device clinic by performing a variety of administrative and technical tasks related to implantable cardiac devices. This role involves managing device data and systems, interacting with patients and staff, handling documentation and billing processes, and contributing to overall workflow efficiency. This person will be a resource for both EP and non-EP providers and will provide education to staff and patients as directed.

Key Responsibilities:

  1. Device Management & Reporting: Manage disconnected monitors, export/address transmissions in manufacturer sites, escalate alerts to Device RN, manage Vector dockets/transmission lists, send Vector reports for signing, and update device schedules.
  2. Documentation & Billing: Handle prior authorizations/appeals, scan Vector Remote Transmissions into EHR, perform billing for remote/in-office checks, upload reports to EHR, manage implant reports, and schedule patient follow-ups.
  3. Patient Interaction & Education: Manage non-urgent patient, staff, and Patient Portal messages, submit Vector requests for transmissions, handle transfer of care requests, perform no-show outreach, and conduct post-ILR implant/explant and post-op device check outreach.
  4. Workflow & System Management: Navigate EHR and device management systems, scan Vector Remote Transmissions/Dockets into EHR, download Vector Dockets/HIM Folder, review/clear websites, complete alert lists, download remotes, create/upload new encounters, retrieve clearances from clinic fax inboxes, update device schedules, and perform new implant Registration Workflow.
  5. Collaboration & Support: Collaborate with RNs, physicians, and staff, participate in huddles, and send reminder emails to providers for signatures.
  6. Administrative & Operational Support: Retrieve/prep device evaluation clearances, run billing reports, and undertake assigned projects.

Qualifications

Qualifications

We require:

- High School diploma or GED

- 6 months experience in a medical office/clinic or graduation from an accredited Medical Administrative Assistant, Nursing Assistant or Medical Assistant Program.

- Ability to obtain Medical Assistant Registered (MA-R) through the State of Washington, sponsored by Virginia Mason.
- Medical Assistant Registered (MA-R) through the State of Washington, sponsored by Virginia Mason, required within 60 days of hire

- Knowledge of medical terminology

- Professional demeanor with a positive, upbeat attitude, strong communication skills

- Excellent organizational and interpersonal communications.

- Detail oriented with ability to multi-task. Capable to work independently with minimal supervision.

- Ability to effectively present information and respond to questions from administrative and clinical staff, leaders, patients and physicians

Preferred:- Associates degree or equivalent
