Responsibilities

The Human Resources Assistant is responsible to maintain and support various Human Resource functions and activities. These functions are conducted in a confidential, accurate and customer focused fashion and include but not limited to the following: clerical duties, processing various HR transactions, HR policy support; generation, completion, and submission of various reports.

 Provide professional and timely customer service to employees, leaders, other CommonSpirit Health staff, and members of the public by providing information and responding to questions in a timely and accurate manner.
 Answers the front desk phone, identifying self and routing the calls as necessary, taking and dispatching messages, etc.
 Opens, sort, and routes all incoming mail appropriately.
 Create Employee Health labels and folders.
 Create New Hire packets
 Provide professional and timely support to the HR Operations team and to Employee Health, including, but not limited to the following: clerical support, supply ordering, utilizing various office equipment and computer software applications.
 Serves as a resource to local employees assisting with Human Resources related issues, Employee HR systems, etc.
 Assist with employee onboarding and ensuring employee files are accurate, complete and maintained within specified timeframes for document/record retention purposes.
 Assist applicants when completing application or when calling to inquire about their application.
 Completes employment verifications (verbal and written) or refers inquiries to the appropriate CommonSpirit Health verification service.
 Makes ID badges for employees and non-employees.
 Assign QR codes for new hires for Employee Temperature/Attestation Screening System (Care.ai)
 Maintains photo imaging system and all supplies for it.
 Investigate/respond to time clock device (Kronos) maintenance issues (i.e. broken time clock, time clock not accepting punches, etc.), which may require opening a ticket(s).

 On Thursday and/or Friday prior to New Employee Orientation (NEO) on the following Monday, print badges, QR Codes, issue parking decals for those on orientation roster, and scan new hire Vehicle Registration Forms to Public Safety.
 Scan completed new hire paper work to Talent Acquisition.
 Issue badge replacements for current employees as needed (i.e. title change, name change, credential change, etc.) and email Public Safety with the employee’s new badge proximity number.
 Receive Employee Bonus Reward Redemption Cards (TORCH), issue award to employee in compliance with TORCH guidelines, log award in TORCH award book for payroll taxing.
 Maintains HR Reception Area/HR Lobby in a neat and professional manner.
 Actively participates in and supports organization-wide functions and activities whenever possible, in order to promote high morale among employees and the image of the organization.
 Participates in HR Staff meetings, national conference calls, etc. whenever applicable and possible, in order to provide for positive communication and consistency.
 Ensures that the front desk is never left unattended during hours of operation (except during meal periods or restroom breaks).
 Perform ad hoc requests and assist with special projects and other tasks or initiatives as needed within required time frames.


Qualifications

High School Diploma/GED

Proficient with Microsoft Office, strong written and verbal communication skills, demonstrates exceptional customerservice skills. Knowledge of terminology and competencies demonstrated in an HR environment.
