Responsibilities

Virginia Mason Franciscan Health, is currently seeking a full time Manager Anesthesia Operations for our St. Joseph Anethesia Department in Tacoma, WA. We are searching for a leader who excels at building and mantaining a cohesive team of skilled and experience professionals. 

Job Summary:  

This job is responsible for oversight and evaluation of the administrative elements of anesthesia operations for the
assigned Virginia Mason Franciscan Health (VMFH) hospital, including resource planning and development, business
operations/finance, facilities and human resources.
An incumbent maintains a dyad relationship with the Anesthesia Medical Director to provide strategic leadership in
assessing, developing and implementing initiatives/activities which improve financial performance/productivity, maximize
effective utilization of resources and enhance patient outcomes/service satisfaction.
Work is also focused on: 1) overseeing, in collaboration with the Anesthesia Medical Director(s), the general performance
of Anesthesia providers; 2) facilitating compliance with applicable VMFH policies, standards and applicable regulatory
requirements; 3) developing/implementing administrative procedures and staffing plans for Anesthesia Operations; 4)
overseeing patient/customer satisfaction processes; 5) monitoring and reporting of results on established financial
metrics; and 6) collaborating with Medical Director to provide administrative supervision to providers. Work also includes
business planning activities, budget development and achievement of performance objectives.
Work requires knowledge of professional standards and competitive industry practices impacting surgical and
perianesthesia care, as well as the ability to manage multiple administrative details, demonstrate persistence in tracking
and following up on issues and to coordinate timely resolution of concerns, complaints and grievances.

Essential Job Duties:

HUMAN RESOURCE MANAGEMENT:

Collaborates with VP Operations and Medical Director(s) to identify adequate staffing levels for appropriate
coverage to meet budgetary and operational objectives.
Analyzes ongoing Anesthesia provider needs and develops/maintains staffing plan(s), including recruitment
and onboarding activities.
Oversees administration of assigned staff in accordance with established procedures; participates in
collaborative employment decisions based on candidate interviews within scope of position; interprets and
analyzes physician service agreements and other equipment and service agreements.
Keeps staff apprised of pertinent information in a timely manner; develops agenda for staff meetings and
maintains minutes; within scope of position, establishes performance standards, evaluates staff performance
and addresses performance management issues.
Seeks opportunities to build team effectiveness by developing cooperative relationships, exchanging ideas and
anticipating/preventing/resolving issues.


ADMINISTRATIVE OVERSIGHT:
Plans, oversees and evaluates administrative operations, clinical needs and resources for Anesthesia in a
manner that is fiscally responsible, in accordance with VMFH policies and standards and in compliance with all
applicable regulatory requirements; assesses activities to assure they meet operational expectations/demands
in a timely, efficient and effective manner.
Establishes and maintains collaborative relationships with the Anesthesia Medical Director(s), leadership team,
providers, patients, other administrative/management stakeholders and external contacts (e.g. supply
vendors) and communicates regularly with appropriate management to ensure effective operations and
consistency with overall business objectives.

Manages short and long-term business planning projects/activities applicable to the assigned function;
participates in the planning, developing and administration of projects designed to address current and future
needs in support of business objectives.
Implements VMFH policies and procedures, guidelines, training materials and general communications (e.g.
marketing, infection control and billing procedures and/or to increase and maintain patient volume and
satisfaction) to facilitate consistency with the values of the organization and compliance with applicable
regulatory and accreditation requirements; ensures that all functional activities are fully documented,
understood, and applied in accordance with the established standards and practices.
Establishes a strong working relationship with departments regarding billing, coding and medical records to
insure optimum return on documentation and charging for increase revenue and decrease deficiencies.
Produces data analytics and financial reports/modeling relating to billing, productivity, staffing and related
activities.
Performs department human relations activities such as on-boarding new healthcare providers, processing
payroll and employee status changes, administering FMLA leaves and related actions.
nterprets and facilitates compliance with administrative regulatory standards and VMFH/CommonSpirit Health
requirements; develops and implements effective internal controls relating to the prevention of
billing/collection fraud and abuse; communicates new/revised information to staff, and ensures compliance
therewith.
Provides guidance in resolving operational issues and escalates matters beyond scope of position to higher-
level management as required.
Assists providers with compliance of documentation deficiencies, work queues, tracking of CME’s and schedule
changes.
Works collaboratively with Medical Director(s) to interpret and analyze information for decision-making and
goal setting.


PERFORMANCE AND QUALITY IMPROVEMENT:
Monitors and assesses clinical operations and care quality delivery/outcomes to identify opportunities for
performance and process improvement; identifies opportunities and makes recommendations ideas to higher-
level management per established procedures; implements approved changes for understanding of
quality/performance improvement initiatives.
Keeps abreast of changing conditions with timely identification and reassessment of current and future needs;
participates in the planning, development and implementation of new/revised policies, standards and
processes/workflow.
Works collaboratively with management/stakeholders to facilitate optimization of clinical and business
operations in areas such as interventions, revenue cycle, budget oversight, metrics, clinical quality outcome
targets, etc.


STRATEGIC GROWTH PLANNING:
Keeps abreast of current technology, clinical quality/care delivery, and market competition and assesses
appropriateness for new/continued services; identifies and proactively explores opportunities for expansion/addition
of services that support strategic growth and marketing initiatives.
Develops operational plans to support hospital vision and strategy relative to perioperative and perianesthesia
programs.


Performs related duties as required.


Qualifications

Education/Experience Requirements:

  • Graduation from an accredited school of nursing and four years related work experience that would demonstrate
    attainment of the requisite job knowledge/abilities, including two years in a charge RN/leadership position (or
    equivalent). BSN or Bachelors’ Degree in a related healthcare field is preferred.

Licensure/Certification

  • Current licensure as a Registered by the Washington State Board of Nursing.
