CHI St. Alexius Health is a regional health network with a tertiary hospital in Bismarck, the system also consists of critical access hospitals (CAHs) in Carrington, Dickinson, Devils Lake, Garrison, Turtle Lake, Washburn and Williston and numerous clinics and outpatient services.  CHI St. Alexius Health manages four CAHs in North Dakota - Elgin, Linton, and Wishek, as well as Mobridge Regional Medical Center in Mobridge, S.D. CHI St. Alexius Health offers a comprehensive line of inpatient and outpatient medical services, including: a Level II Trauma Center, primary and specialty physician clinics, home health and hospice services, durable medical equipment services, a fitness and human performance center and ancillary services throughout western and central North Dakota.

Responsibilities

Job Summary / Purpose

Performs a variety of secretarial, receptionist and administrative assistant duties and office procedure establishment for accurate and continuous flow of information/data to provide efficient and cost effective operation of the department, rendering these services with respect for each person’s own personal worth and dignity.

Essential Key Job Responsibilities

  • Attains completion of department goals/objectives as established for the current fiscal  year   
  • Plans, develops, creates, implements, and maintains office procedures for managing the unit’s workflow
  • Composes and prepares correspondence of an official and sensitive nature. 
  • Develops and prepares meeting agendas and material for the manager, supervisors, committee members and other participants. 
  • Establishes methods, processes, and procedures to collect various data sources, compile data into reports, spreadsheets, databases for use by others. Examples include: Infectious illness report, monthly financial reports, procedure statistic reports.
  • Establishes and maintains record keeping and filing systems in accordance with departmental systems.  Classifies, sorts and files correspondence, records and other documents accordingly.  Purges files in accordance with policy and regulations
  • Assists with gathering accounting-related data for unit budget monitoring and development.
  • Answers telephone courteously and directs calls appropriately
  • Supports policy and procedure process by typing policies, maintaining policy system, committee agendas and minutes
  • Media room coverage. Manages image workflow, routing, retrieving images, burning CDs, and other activities.
  • Schedules and maintains the appointments, schedules meetings as requested 

Uses the PC computer programs such as Word Processing, Data Base, spreadsheets, and scheduling programs.  Inputs and retrieves data from the computer system and the PC computers.


Qualifications

Required Education for Staff Job Levels

Preferred Associate degree with major coursework in office support or business or office education.

Required Minimum Experience

Two (2) years’ experience performing a variety of complex office support, clerical or secretarial work which included opportunities for functioning as a project coordinator, team leader, or lead worker. Additional work experience as just described may substitute for the education requirement on a year-for-year basis.

Required Minimum Knowledge, Skills and Abilities

Types 45-50 wpm, net; dictation equipment, operate calculator; proficiency with word processing and personal computer applications; skilled with reading, spelling and sentence structure.  Ability to function independently with little or no instructions
