The Executive Coordinator provides high-level administrative and special project support to the  division executive team. Incumbent in this position ensures the smooth coordination and completion of activities related to executive scheduling, correspondence, event planning, complex calendar management, project management and administrative team support functions. The Executive Coordinator possesses high standards of professionalism, exercises discretion when handling confidential information, pays close attention to detail with excellent ability to anticipate leadership needs and prioritizes projects and initiatives using a pro-active and organizational approach to work. The Executive Coordinator demonstrates understanding and commitment to Dignity Health's mission, vision and values through demonstrated behaviors. The Executive Coordinator reports to the Office Manager and works closely with other Executive Coordinators and senior administrative team in a collaborative effort. The Executive Coordinator must be creative and enjoy working within a team environment that is missiondriven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

This title will support both the Northern CA Division VP of Mission Services and the market HRVP within our organization.

Job Standards
In partnership with the executive leadership team, the Executive Coordinator provides oversight of logistical, project and administrative support to the assigned executive leadership including but not limited to, complex and strategic administrative support, research, presentation and preparation for meetings, coordination of travel logistics, expense reports, and event coordination. The Executive Coordinator is responsible for implementing effective processes and to stay informed on current initiatives within the  division.
1.1 Performs a diversified range of high level administrative support functions for the division and executive leadership team including event and meeting coordination and project assistance/management.
1.2 Support key initiatives in the service area; maintain effective tracking and organizational skills to facilitate effective updates to executive team.
1.3 Utilize technology skills, keen administrative attributes, communication and professional attributes and knowledge in position-related areas.
1.4 Manages the complex calendar and activities of assigned executive leadership utilizing pro-active approach to scheduling.
1.5 Coordinates, organizes and supports activities related to large group meetings and manages calendar invites/participants tracking, meeting logistics, catering, technology and minutes. Follow up as needed.
1.6 Acts a strategic partner with the assigned executive to align goals and coordinate projects and initiatives.
1.7 Exercises good judgment and discretion and serves as a liaison for the administrative office.
1.8 Coordinates with internal and external business partners or other Dignity Health leadership and their executive coordinators to ensure efficient workflow and executive productivity.
1.9 Triages executive email and notifies executive when emails have been received from important system and external executives and contacts.
1.10 Plans and coordinates leadership corporate travel for meetings, conferences, town halls, and mission integration events. Creates detailed itineraries.
1.11 Completes monthly expense reimbursements utilizing the online electronic Expense Report System in Concur.
1.12 Creates and edits PowerPoint Presentations for internal and external meetings.
1.13 Demonstrates professional attitude at all times; utilizes effective verbal communication skills.
1.14 Demonstrates excellent written communication, editing, and grammar skills.
1.15 Demonstrates the ability to prioritize and maintain composure; demonstrates critical thinking and strong analytical skills.



  • At least 5-7 years corporate executive assistant experience.
  • High School diploma


  • C-Suite experience, HR support highly preferred.
  • proactive strategic partner
  • Experience with Google Workspace
  • Advanced organization and prioritization skills
  • Excellent use of good judgement
  • Experience working with multiple executives with competing priorities and projects.
