Job Summary:

  • Responsible for executing plans to achieve special event goals (fundraising, cultivation, stewardship). The Events Specialist coordinates all aspects of foundation events including budget, vendors, communications, volunteers, on-site logistics, and financial reporting.
  • Coordinates all aspects of foundation events from planning and tracking of participants through seating and program logistics and post-event follow-up and reporting. Manages events calendar. Prepares and monitors event budgets.
  • Coordinates all event planning committee activities and meetings, including preparation and distribution of materials, logistics, minute-taking and follow-up.
  • Coordinates all details of working with outside vendors for event execution, including venue, caterer, graphic designer, printer, entertainment, audio/visual, photographer, video producer and others,
  • Oversees solicitation, tracking, processing and acknowledgment of in-kind donations for auctions and raffles.
  • Coordinates, trains, and oversees staff and volunteers for all day-of event roles, including set-up, registration, program, attendee check-out and clean-up. Works with Director of Volunteer Services to recruit volunteers as needed.
  • Responsible for final accounting and financial reporting of event income, invoicing and acknowledgement of sponsors and supporters, and updating database with all event and attendee contact information and activity.
  • Manages inventory and storage of event-related materials and supplies.
  • Assists with other tasks as requested by foundation and hospital leadership.



  • Minimum of two (2) years of event logistical and production experience.
  • Bachelor's degree in a related field or a combination of education and/or additional job-related experience may be substituted in lieu of the degree.
